The plugin also supports the use of multiple pre-designed templates, allowing you to perform A/B testing on your email communications. Downloading & Installation

Pre-requisites

Before using the Email Addon for Ninja Forms plugin, ensure that the Ninja Forms plugin is already installed and activated on your WordPress website. Email Addon for Ninja Forms works as an extension of the Ninja Forms plugin and cannot function independently.

To purchase the Email Addon for Ninja Forms plugin, visit the KrishaStore website. After completing your purchase, you'll receive a ZIP file that you can use to install the plugin.

Upload via WordPress Admin Panel

  1. Log in to your WordPress Admin Dashboard.
  2. Navigate to Plugins → Add Plugin.
  3. Click the Upload Plugin button at the top of the page.
  4. Click Choose File and select the Email Addon for Ninja Forms ZIP file from your computer.
  5. Click Install Now.
  6. After the installation is complete, click Activate Plugin.

Upload via FTP/SFTP

  1. Upload the Email Addon for Ninja Forms plugin folder to your wp-content/plugins directory.
  2. Navigate to your Admin Panel: Plugins.
  3. Under Email Addon for Ninja Forms, click Activate.

License Activation

License Activation Process

Once the admin enters a valid license key, the user can access and use all the features of the Email Addon for Ninja Forms plugin.

When you purchase the Email Addon for Ninja Forms plugin from the KrishaStore website, your license key is available in the My Account section on the front-end dashboard. This license key is required to activate the plugin within your WordPress admin panel.

The subscription remains active until the end of the current billing cycle, even if you choose to cancel it.

Subscription Behavior

  1. The cancel subscription option is available in your front-end account dashboard.
  2. Clicking Cancel Subscription will not immediately deactivate your license.
  3. You can continue using all features until the end of your current billing period.

Activating Your License Key

Follow these steps to activate your Email Addon for Ninja Forms license from the WordPress admin panel:

Step 1: Copy License Key

  1. Log in to your account on the KrishaStore website.
  2. Navigate to the My Account page.
  3. Locate your purchased product (Ninja Forms Email Addon).
  4. Copy the License Key.

Step 2: Open License Settings in WordPress

  1. Log in to your WordPress Admin Dashboard.
  2. In the left-hand menu, go to: Ninja Forms → License

Step 3: Enter License Key

  1. On the Activate Your License screen, locate the License Key input field.
  2. Paste the copied license key into the field.
  3. Click on the Activate License button.

Step 4: Verify Activation

Once activated, you will see:

  1. License Status: Active
  2. Activated URL: Your website URL
  3. Deactivate License: You can deactivate the license anytime using the Deactivate License button.

This process ensures that your Email Addon for Ninja Forms plugin is fully activated and ready to use with all premium features.

Getting Started (Quick Start)

After activating the Email Addon for Ninja Forms, you can assign professional email templates to each Ninja Forms form.

To access the email templates:

  1. Log in to your WordPress Dashboard.
  2. Navigate to Ninja Forms in the WordPress sidebar.
  3. Create a new form or edit an existing one.
  4. Click the Emails & Actions tab.
  5. Click the + action button and choose the Email Template action.

From this panel, you can choose separate pre-designed email templates for:

  • User Email - The confirmation or thank-you email sent to the visitor after submitting the form.
  • Admin Email - The notification email sent to the website administrator when a new form submission is received.

Once you select a template and save the form, the chosen design will automatically be used for future email notifications.

After creating your form, copy the generated shortcode and paste it into any page, post, or widget where you want the form to appear. For example, you can create a Contact Us page and insert the Ninja Forms shortcode. When visitors submit the form:

  • The website visitor receives a confirmation email using the selected User Email Template.
  • The website administrator receives a notification email using the selected Admin Email Template.

Both emails are automatically generated using the templates you have selected in the Email Template panel.

Configuring Email Templates

The Email Template panel allows you to manage the email design used by each Ninja Forms form. Each form can have two different email templates:

  • User Template - Sent to visitors as a confirmation or thank-you email.
  • Admin Template - Sent to the site administrator as a notification of a new submission.

The plugin includes a collection of ready-to-use templates. Simply select the template you prefer, then customize the email content using the standard Ninja Forms mail settings (such as the Message Body, subject, sender, and recipient). After saving the form, all future emails will use the selected template.

Selecting an Email Template for Users

  1. Log in to your WordPress Dashboard.
  2. Go to Ninja Forms and edit the form where you want to apply an email template.
  3. Click the Emails & Actions tab.
  4. Click on the + action button, then click the Email Template button.
  5. Select "Email Confirmation" from the template dropdown.
  6. In the Templates for User section, browse the available email templates.
  7. To preview a template before selecting it, click the Preview (+) icon, then click Leave in the alert dialog box.
  8. Review the template design in the preview window.
  9. Click Select Template on the template you want to use.
  10. Click Save to apply your changes.

Selecting an Email Template for Admin

  1. Log in to your WordPress Dashboard.
  2. Go to Ninja Forms and edit the form where you want to apply an email template.
  3. Click the Emails & Actions tab.
  4. Click on the + action button, then click the Email Template button.
  5. Select "Email Notification" from the template dropdown.
  6. In the Templates for Admin section, browse the available email templates.
  7. To preview a template before selecting it, click the Preview (+) icon, then click Leave in the alert dialog box.
  8. Review the template design in the preview window.
  9. Click Select Template on the template you want to use.
  10. Click Save to apply your changes.

Email Message Body

The Message Body section contains the email content that will be sent when a visitor submits your Ninja Forms form. When you select an email template from the Email Template action, the plugin automatically inserts the template's HTML code into this field. This HTML defines the complete layout of the email, including the header, content area, footer, styling, and other design elements.

You can edit this HTML at any time to customize the appearance and content of your email. For example, you can modify the text, change colors, update fonts, replace images, add your company logo, adjust spacing, or include additional sections to better match your website's branding. The message body also supports standard Ninja Forms merge tags and the plugin's Special Mail Tags, allowing you to display dynamic information such as the submitter's name, email address, form fields, website details, and submission information.

Any changes you make to the Message Body will be used the next time an email is sent from the form.

Special Mail Tags

The Special Mail Tags feature allows you to insert dynamic information into your Ninja Forms email templates. In addition to individual form fields, you can use special tags to automatically display submission details, date and time information, and WordPress site information in the email.

To view the available tags:

  1. Log in to your WordPress Dashboard.
  2. Go to Ninja Forms and edit the form where you want to apply an email template.
  3. Click the Emails & Actions tab.
  4. Click on the + action button, then click the Email Template button.
  5. Select "Email Notification" from the template dropdown.
  6. In the Email Template editor, locate the Insert tag dropdown.
  7. Click the dropdown to view the available dynamic tags.

The available tags are organized into categories such as:

  • Form Fields - Displays values submitted through your Ninja Forms fields, such as Name, Email, Phone, Message, and other fields included in the form. You can also use All Fields (styled) to display all submitted form fields together.
  • Special - Provides additional Ninja Forms submission information, including the All Fields (styled) tag.
  • Other - Displays dynamic date and time information, including the current date, time, year, month, and day.
  • WordPress - Displays information from your WordPress website, such as the Site Title, Site URL, Admin Email, and other available WordPress values.

To insert a tag, place your cursor at the desired location in the email template and select the required option from the Insert tag dropdown. The corresponding Ninja Forms merge tag will be inserted into the template.

When the email is generated, Ninja Forms automatically replaces each tag with its corresponding value. This allows you to create personalized and informative user confirmation and administrator notification emails without manually entering submission or website information.

After adding or modifying tags, click Save to save the Email Template, and then save the form to apply your changes.

Email Addon Options Panel

After installing the plugin, you can manage the global email settings by going to Ninja Forms → Email Add-on Options in the WordPress dashboard. Here, you can add your contact details and social media links, which will automatically appear in the selected email templates. This helps keep all user and admin emails consistent, professional, and up to date.

Field Descriptions

  • Phone: Enter the phone number to show in your email template.
  • Email: Enter the email address displayed in the template.
  • Facebook: Enter your Facebook page URL to display a Facebook link.
  • Twitter: Enter your Twitter (X) profile URL to display a Twitter link.
  • LinkedIn: Enter your LinkedIn profile or company page URL to display a LinkedIn link.
  • Instagram: Enter your Instagram profile URL to display an Instagram link.
  • Pinterest: Enter your Pinterest profile URL to display a Pinterest link.

After entering the required information, click Save to apply the changes to your email templates.
